Introduction
Since 1970, IB Patel School has been shaping young minds in Vallabh Vidyanagar, Anand district, Gujarat. The institution was founded by the philanthropist Shri Iswarbhai Bhulabhai Patel, who generously donated his resources to empower students through education.
The school pioneered English-medium education across kindergarten to secondary levels in the region. With its mission “to provide vibrant forums, scientific temper, and a wide spectrum of academic & co-curricular learning,” IB Patel School has nurtured one of the most vibrant alumni communities in Gujarat. It is an institution that understood the benefits of creating an early age school alumni management system and started making moves in the same direction.
Challenges
Although the school had an alumni base of over 2,500 members, participation in events remained low. The major challenges were:
-
No online presence: Alumni events and activities lacked visibility and promotion.
-
Offline event management: Registrations and payments were handled manually, making participation inconvenient.
-
Limited engagement: Alumni had minimal interaction with the school, resulting in lower turnout at events and limited fundraising.
When the school planned its diamond jubilee celebration, it became clear that a structured and digital approach was essential.
Solution
In early 2020, IB Patel School partnered with AlmaShines to launch a digital alumni portal.
Key actions included:
-
Creating a centralized online alumni platform to bring all alumni under one roof.
-
Digitizing events—from promotions to registrations to payment collections.
-
Running regular email campaigns and updates to re-engage alumni and keep them informed.
This shift allowed the school to host its jubilee celebration with far greater participation and also opened new opportunities for alumni-driven initiatives.
Results
The transformation was immediate and impactful:
-
Alumni engagement increased by nearly 100%, with most members actively using the portal compared to earlier offline efforts.
-
Thousands of emails were sent within just a few months, boosting awareness and participation.
-
Fundraising success stories:
-
Nearly ₹30 lakhs raised for school development projects.
-
Around ₹25 lakhs collected for creating eight smart classrooms.
-
Over ₹7 lakhs contributed toward scholarships for underprivileged students.
-
-
Jubilee event success: The very first online-driven event saw over 500 participants and raised more than ₹4 lakhs, exceeding expectations.
Conclusion
By embracing AlmaShines’ alumni management platform, IB Patel School transformed its alumni relations into a dynamic and future-ready community.
The school successfully converted offline limitations into digital opportunities, strengthening alumni bonds, increasing participation, and raising substantial funds for development and student support.
IB Patel School’s journey is a powerful example of how institutions can leverage digital platforms to turn alumni networks into a driving force for growth, innovation, and legacy-building.
