Introduction

The Alumni Association of the College of Engineering, Pune (COEP), established in 1993, has always aimed to create strong connections between the college and its graduates. Through networking opportunities and engagement initiatives, the association fosters lifelong intellectual and emotional bonds. One of its signature programs is the Global Reunion-Alumni Fest, which celebrates Silver, Golden, and Diamond Jubilee milestones of alumni batches every year.

The Challenge

While planning the Golden Jubilee for the Batch of 1969, COEP faced a critical challenge: an incomplete alumni database. Previous batch celebrations had limited participation, with only around 30 alumni attending. Reconnecting with lost alumni manually was time-consuming and risked low turnout, threatening the success of the milestone event.

The Solution

In April 2018, COEP partnered with AlmaShines and launched a dedicated Alumni Platform to digitally manage alumni engagement. Key initiatives included:

  • Batch Coordinators Campaign: Identified one alumnus connected to 16 other batch members, creating a chain of outreach.

  • Yearbook Feature: Allowed registered alumni to share a batch-wise directory with their networks, inviting more alumni to join the platform.

This structured, platform-driven approach ensured that alumni could easily reconnect and register for the event.

The Results

By November 2018, the Alumni Association had successfully connected with 160 alumni from the Batch of 1969. The Golden Jubilee Alumni Meet, held in December 2018, saw participation from over 150 alumni, making it the largest Golden Jubilee event in COEP’s history.

Conclusion

With a digital alumni platform, COEP transformed its alumni engagement approach from fragmented manual efforts to a scalable, tech-driven network. This case highlights the power of technology in reconnecting alumni, boosting participation, and strengthening long-term relationships between institutions and their graduates.
